How do I sync Hubhus with Outlook calendar?
Hubhus supports two-way synchronization with Microsoft Outlook calendars. Once enabled, events created in Hubhus can be exported to Outlook, and events created in Outlook can be imported into Hubhus.

Hubhus supports two-way synchronization with Microsoft Outlook calendars. Once enabled, events created in Hubhus can be exported to Outlook, and events created in Outlook can be imported into Hubhus. The sync works in near real-time using Microsoft Graph.
This article explains how to activate the integration, link calendars, and troubleshoot common issues.
1. How to activate Outlook integration

You can activate the Microsoft 365 calendar integration in two places:
Option A — Account → Integrations → Microsoft calendars
Option B — Calendar → Settings → Outlook calendars
If the integration has not been activated yet, you will see:
“Microsoft integration not activated. Click ‘Set up Outlook integration’ to link a Microsoft organization.”
Both paths lead to the same activation flow.
2. Admin consent is required
To activate the integration, you must grant Microsoft 365 admin consent.
When you click “Set up Outlook integration”, you are redirected to Microsoft login, where you will be asked to approve the Hubhus Calendar Integration application.
The Microsoft user performing activation must be:
Global Administrator, or
Privileged Role Administrator
("Administrator for privilegerede roller")

What this admin consent does
Once approved:
Hubhus is allowed to read and write calendar events using Microsoft Graph
Hubhus can list your organization’s calendars
Hubhus can import, export, and sync calendar events
After approval, any Hubhus administrator can link individual Outlook calendars to Hubhus resources.
3. Linking Outlook calendars to Hubhus
After admin consent is granted:
Step 1 — Refresh available Outlook calendars
Go to:
Calendar → Settings → Outlook calendars → Refresh list of available Outlook calendars
Hubhus will fetch:
All Outlook calendars in the organization
Their names
Their owners
(Still no events imported yet.)
Step 2 — Link a calendar
Find the correct Outlook calendar in the list and press:
“Link Outlook calendar”
Calendars can be linked to Hubhus resources one-to-one.
4. Import, Export, and Two-way sync
Hubhus supports three synchronization modes.
Import (Outlook → Hubhus)
When enabled:
Hubhus imports events for the current month + 1 year forward
Microsoft notifies Hubhus of new/updated/deleted events
Hubhus updates instantly with no page refresh required
You can manually import additional date ranges
If import is disabled:
Hubhus unsubscribes from updates
All imported Outlook events are permanently removed from Hubhus
Hubhus never deletes Outlook-native events.
Export (Hubhus → Outlook)
When enabled:
New Hubhus events are exported to Outlook
Updates in Hubhus update the Outlook event
Existing Hubhus events can be exported manually
If export is disabled:
No future Hubhus events are exported
Already-exported Outlook events remain untouched
Two-way sync (Import + Export)
When both are enabled:
Edits in either system update the other
Deleting a Hubhus-created event deletes it in Outlook
Deleting an Outlook-created event will not delete it in Outlook from Hubhus (Hubhus never removes Outlook-native events)
5. Privacy and access control
Even if Hubhus technically has access to all calendars in the organization (based on Microsoft Graph permissions), Hubhus will only sync calendars that an administrator explicitly links.
Additionally:
Individual calendars can be marked as private
Event details are hidden in Hubhus
Time blocking remains visible
Booking availability still respects these events
6. Troubleshooting sync issues
Most problems fall into one of three categories:
A) Missing calendars
Caused by:
New Outlook mailbox not yet synced
Display list outdated
Fix:
Go to Outlook calendar settings → Refresh list of available Outlook calendars
Then link the correct calendar again.
B) Permission issues
Caused by:
Admin consent not granted
Admin user not Global/Privileged Role Admin
Hubhus user email does not match Outlook mailbox owner
ApplicationAccessPolicy blocking mailbox access
Fix:
Ensure correct role → re-run activation → refresh calendar list.
C) Event creation or update errors
Caused by:
Trying to export from a resource not linked to a calendar
Outlook permissions on the mailbox or folder
Outlook recurring events modified inconsistently
Deleted Outlook-native events cannot be removed by Hubhus
Fix:
Confirm:
Link is active
Import/export is enabled
Calendar owner email equals Hubhus user email
Retry event creation
