What is automation in Hubhus?
Automations let Hubhus do the repetitive work for you — sending confirmations, moving leads through statuses, reminding customers, and routing work to the right team. Once set up, they run silently in the background, keeping every process consistent without manual effort.
TL;DR
Find automations under Campaign settings → Automations. Each rule has a trigger (when), optional filters (if), and one or more actions (what). Automations check every ~60 seconds. Use Max. fires per order = 1 to prevent repeated firing.
How automations work — 4 essentials
Trigger — defines when the automation runs: lead created, status changed, field updated, booking created, delay expired, or specific conditions becoming true.
Filters — optional conditions that limit when the rule fires (e.g. "only run if region = Copenhagen" or "only if lead source = website").
Actions — what happens when triggered: send email or SMS, update a field, change status, add a file, run a chained automation, or send a webhook.
Max. fires per order — controls how many times the automation can run for the same lead. Set to 1 to fire once and stop, even if conditions match again later.

Common automation patterns
- Welcome message — Trigger: lead created → Action: send email or SMS immediately
- Status-driven workflow — Trigger: status → "Quote sent" → Action: send follow-up after a delay
- Reminder sequence — Trigger: inactivity field → Action: send reminder → wait → send final message
- Booking confirmation — Trigger: event created → Action: send confirmation + assign resource
- Internal alert — Trigger: high-priority select-field → Action: notify team member
Automations vs. action listeners
Automations — run on a recurring schedule (~60 sec). Support delays, complex conditions, and chained workflows. Best for: reminders, follow-ups, timed steps.
Action listeners — fire instantly when data changes. No delay, no scheduling. Best for: instant notifications, external integrations, reacting immediately to customer input.
Troubleshooting automations
Automation not firing — check the trigger type and filters. Verify Max. fires per order hasn't been reached. Confirm the lead actually entered the trigger state after the automation was activated.
Automation firing too many times — set Max. fires per order to 1 (or a specific number). Use filters to narrow the trigger conditions. Check if multiple automations have overlapping triggers.
