e-conomic: Invoice campaign best practices

Set up your Hubhus invoice campaign so payment status stays in sync with e-conomic, invoices are sent from Hubhus, and customers get friendly reminders before and after the due date — without reminding when {{eco_remainder}} is 0 or the lead is already paid.

TL;DR

Mark invoices as sent in e-conomic (do not send from e-conomic). In Hubhus set e-conomic import to invoice book. Create a campaign state timestamp (e.g. Latest payment) and two e-conomic actions when an invoice is paid. Send the invoice email/SMS from Hubhus using {{eco_number}}, {{eco_due_date}}, and {{eco_pdf_url}}. Add two automations: one day before due date, and one day after — both gated by payment sync and {{eco_remainder}} > 0.

Mark as sent in e-conomic — send from Hubhus

Do not send the invoice email from e-conomic. Mark the invoice as sent in e-conomic, then send the customer email/SMS from the Hubhus invoice campaign shortly after the invoice is registered. That keeps messaging, reminders, and Trustpilot under Hubhus control.

Set import to invoice book

Go to Account → Settings → e-conomic (or your account Integrations → e-conomic) and set import settings to invoice book. This syncs booked invoices into the Hubhus invoice campaign with fields such as {{eco_number}}, {{eco_due_date}}, {{eco_remainder}}, and {{eco_pdf_url}}.

Create a Latest payment campaign state field

In the invoice campaign under Campaign state, create a new campaign field — e.g. Latest payment. This timestamp is updated when e-conomic reports that an invoice is paid, so automations can verify that payments were synced today before reminding customers.

Add e-conomic actions for paid invoices

Under the campaign e-conomic menu, create two actions:

  • When invoice is paid → update campaign timestamp — set the timestamp field to your Latest payment field.
  • When invoice is paid → set lead status — set status to Paid (or your local equivalent).

Send the invoice from Hubhus

Trigger email and/or SMS when the invoice lead is created or shortly after. Thank the customer, link or embed the PDF with {{eco_pdf_url}} (e.g. @pdf_embed[{{eco_pdf_url}}] or a button linking to the invoice page). Mention invoice number {{eco_number}} and due date {{eco_due_date}} where useful.

Add due-date and overdue reminder automations

Create two automations (details in Read more): one that runs 24 hours before the e-conomic due date, and one that runs the day after due date. Both should only run in office hours on weekdays, skip paid leads, and skip invoices where {{eco_remainder}} is not greater than 0.

Automation A — due tomorrow (friendly reminder)

Purpose: remind customers the day before payment is due.

  • Trigger: 24 hours before the all-day event specified by the e-conomic due date field ({{eco_due_date}}).
  • Requirements: Must not have status Paid (or equivalent). Optional: Must not have visited the invoice webpage. Manual condition: {{eco_remainder}} must be greater than 0 (do not remind when nothing is outstanding).
  • Campaign state criteria: The datetime value of Latest payment must be within today — so you only remind after today’s payment sync has run.
  • Execution time: Weekdays during office hours, when someone can answer questions.

Suggested email/SMS wording:

This is a friendly reminder that your invoice {{eco_number}} is due tomorrow ({{eco_due_date}}).

If you have already paid, you can ignore this message.

[Button] View your invoice  →  link to your invoice page / {{eco_pdf_url}}

Automation B — first overdue reminder

Purpose: first friendly reminder after the due date has passed.

  • Trigger: One day after the due date (all-day event on {{eco_due_date}}).
  • Requirements: Must have status such as Invoice sent or Follow up (whichever you use for open invoices). Must not have a follow-up status used for agreed delayed payment. {{eco_remainder}} greater than 0.
  • Campaign state criteria: Latest payment must be within the day before yesterday (payment sync has run recently enough that paid invoices should already be marked Paid).
  • Execution time: Weekdays during office hours.

Invoice email and Trustpilot

Send the invoice email/SMS at the same time as registration in Hubhus, or a few minutes later. Keep the tone simple: thank the customer and link to the invoice.

If you also send Trustpilot invitations from Hubhus, coordinate so reminder flows do not collide with review requests. See Trustpilot: Review invitation integration.

  • Recommended Trustpilot requirement: customer must not have written a Trustpilot review for an activated business unit within the past e.g. 30 days (matched on email).
  • Optional: a select field such as Trustpilot with Yes/No — default Yes, and only change to No when customer history suggests you should skip the invitation.

Why the Latest payment gate matters

Reminder automations should only run after Hubhus has imported today’s payment updates from e-conomic. If you remind before that sync, you risk contacting customers who already paid. The Latest payment campaign state timestamp — updated by the “When invoice is paid” action — is the simplest way to enforce that order.
