GPS tracking: Devices, vehicles, maps, and calendar
Hubhus GPS tracking links physical trackers to vehicles and calendar resources so you can follow live positions, review history and reports, and compare planned calendar work with actual stops and trips.
TL;DR
GPS Tracking → Manage → GPS Trackers → + New GPS tracker device (name, IMEI, phone). Then Vehicles → + New vehicle, map the tracker, and + Link calendar resource. Use Live map, History map, and Reports in the GPS menu. In Calendar, open View options and enable Show GPS stops / trips (and optionally expand the timeline). GPS progress bars are under Event details.
Get started in 5 steps
Register the GPS tracker
Open GPS Tracking in the left menu → Manage. In GPS Setup, select GPS Trackers → + New GPS tracker device. Enter Name, IMEI, and Phone (SIM on the device). After registration, check Latest update on the tracker list to confirm the device is sending data.
Create a vehicle and map the tracker
Still under GPS Setup, open Vehicles → + New vehicle. Give the vehicle a name (and license plate if you use it). Assign the GPS tracker to that vehicle. The tracker must be linked to a vehicle before calendar GPS overlays and map filters make sense for day-to-day work.
Link a calendar resource
On the vehicle row, click + Link calendar resource. Choose the calendar resource (person/resource) that drives that vehicle and set the period (from date, optional end date). Car + pin icons on the resource in Calendar indicate the link is active.
Use Live map, History map, and Reports
In the left GPS Tracking menu: Live map for current positions and related calendar events, History map for a selected vehicle and date (stops and trips on the map), and Reports for trip/stop tables, totals, distance, and download. Details are in Read more.
Show GPS in Calendar
Open Calendar. Open View options (calendar/gear control in the calendar UI). Enable Show GPS stops / trips to show GPS next to planned work, and Expand GPS stops / trips timeline for a fuller GPS column (durations and distances). Click into the GPS timeline to inspect stop duration. Under Event details, enable GPS Progress bars to show how much of the planned event time the resource spent at the stop.

GPS Tracking menu
- Live map - current positions and related activity
- History map - past day for a selected vehicle (stops / trips on the map)

- Manage - opens GPS Setup: Vehicles, GPS Trackers, Info
Live map
Open GPS Tracking → Live map. In the side panel, use the Live tab (History and Reports tabs are also available from the same map UI).
- Select which vehicles to show
- Optionally select calendar resources under “Show events for” to overlay related calendar events on the map
- Map pins show current/relevant positions with times when available
History map
Open GPS Tracking → History map (or the History tab in the map UI). Choose vehicle and date.
- Toggle Stops vs Trips (or both) to show stop pins and/or trip routes
- Use the stop/trip checklist to show or hide individual items
- Fit zooms the map to the selected data; Save / Restore keep or reload the current selection state
Reports
Open GPS Tracking → Reports (or the Reports tab). Select vehicle and period, then Show. Use Download when you need an export.
- Summary typically includes trip total, stop total, distance, average/max speed, and engine time
- Trips table: period, duration, distance, speeds, from/to addresses, tracker id, route action
- Stops table: period, duration, location, tracker id
Calendar GPS overlays
- Show GPS stops / trips - shows GPS activity next to the resource’s planned calendar events
- Expand GPS stops / trips timeline - expands the GPS column so stops and trips are easier to read (times, addresses, durations, distances)
- Show resource’s vehicle - useful when comparing plan vs vehicle GPS
- GPS radius (in View options) - radius used when matching GPS activity to locations/events
- GPS Progress bars (under Event details) - on each planned event, shows how much of the planned time was spent at the stop according to GPS
In Timeline / day views you can compare the planned event column with the GPS column (stops as blocks, trips as travel segments between them).
Common setup mistakes
- Tracker registered but not mapped to a vehicle → maps/reports may not show the resource as expected
- Vehicle mapped but no calendar resource link → Calendar GPS overlays do not appear on that resource
- Latest update never refreshes → check device power, SIM/phone number, IMEI, and coverage before troubleshooting Calendar
- Expecting per-user “hide status” style control on GPS - GPS visibility is driven by vehicle/resource links and Calendar view options, not user status permissions
