Calendar permissions: Control user access in calendars

This article explains how to configure calendar permissions per user in Hubhus. You will learn what each permission controls and how to set safe access levels for daily operations.

What are calendar permissions?

Calendar permissions define what each user can view and do in Hubhus calendars. Permissions are configured per user and help separate read access, edit access, event access, and tool access.


Where to access calendar permissions

Navigate to Calendar → Settings → Permissions.

On this page, you can see all users and their current permission levels in one table. Click Edit on a user to open detailed permission settings.


Permission groups

1) Resource visibility and editing

  • Can see other resource calendars – Controls whether the user can view calendars other than their own.
  • Accessible resource calendars – Defines which calendars are visible when access is enabled (for example all or selected resources).
  • Can edit calendar events – Defines edit scope (none, own calendar only, or all accessible calendars).
  • Can reschedule own events to inaccessible resources – Controls whether users can move their own events to resources they do not normally access.

2) Access to inaccessible meetings through events

  • Can see meetings in events – Allows visibility into meetings that are otherwise outside normal access.
  • Can open leads from event – Controls lead access from event view. Typical options include No, Yes, or Only if user is attending event.

3) Access to tools

  • Can use calendar optimization tools – Grants access to optimization features in calendar workflows.

4) Start page behavior

  • Calendar is user's start page – Sets if calendar should be start page and where (mobile, desktop, or both).

How to configure a user

  1. Go to Calendar → Settings → Permissions.
  2. Find the user in the permission table.
  3. Click Edit.
  4. Set visibility and edit scope first (what they can see and edit).
  5. Set event-level access for inaccessible meetings.
  6. Enable or disable optimization tools.
  7. Set start page behavior if needed.
  8. Click Save.

Dispatcher or planner

  • Can see other resource calendars: Yes
  • Can edit calendar events: In all accessible calendars
  • Can open leads from event: Yes
  • Can use calendar optimization tools: Yes

Field user with limited access

  • Can see other resource calendars: No or restricted resource list
  • Can edit calendar events: Own calendar only
  • Can open leads from event: Only if user is attending event
  • Can use calendar optimization tools: No

Troubleshooting

If a user cannot edit, reschedule, or open leads from events, verify their calendar permission record first. If settings look correct but behavior is still restricted, review user-level permissions under Users, as additional access rules may apply there.
