How do I create automation rules?
Automation rules let Hubhus work for you — sending emails, changing statuses, assigning leads, and triggering actions automatically based on conditions you define. No manual work needed once configured.

Campaign Settings → Automations → New automation rule. Set a trigger (what starts it), optional conditions (which leads it applies to), and actions (what it does). Use delays to time email sequences. Set "Max fires per order" to control how often a rule can run per lead.
Get started in 5 steps
Open the campaign. Go to Campaign Settings → Automations → New automation rule. Give it a clear, descriptive name.
Choose a trigger: e.g. "Status changed to X", "Lead created", "Field updated", or "Time since creation > N hours/days".
Add conditions (optional) to filter which leads the rule applies to — by select field, postal code, assigned person, tags, or any custom field.
Define actions: Send email, Send SMS, Change status, Set assigned person, Set field value, Add delay, Create booking, and more. Chain multiple actions for a sequence.
Set "Max fires per order/lead" — how many times this rule can run per lead. Default is often 1. For multi-step flows or reminders, increase this. Save and test with a real lead.

All trigger types
- Status changed to: fires when a lead enters a specific status
- Lead created: fires when a new lead is created (optionally with a delay)
- Field updated: fires when a specific field changes value
- Time-based: "N hours/days after lead was created" — or relative to a date field
- Scheduled (cron-like): runs on a defined schedule (e.g. every night at 03:00)
- Booking created/cancelled: fires when a calendar booking is made or removed
Testing your automation
- Save the rule and enable it.
- Find a test lead or create one that matches your trigger conditions.
- Perform the trigger action (e.g. change status) on the test lead.
- Check the lead's Activity tab — the automation entry should appear within seconds.
- If using delays: check back after the delay period, or temporarily reduce the delay for testing.
Common issues
- Rule doesn't fire: check that conditions match the test lead. Also check "Max fires per order" isn't already reached.
- Email not sent by the rule: open the email template and verify the conditional send requirement and spam protection settings.
- Rule fires too often: lower "Max fires per order" or add conditions to narrow the scope.
