Connecting external calendars to Hubhus

Keep Hubhus and your existing calendar in sync — events booked in Hubhus appear in Outlook, Google, or your CalDAV system, and external events block availability automatically. Supports Outlook/Microsoft 365, Google Workspace, and any CalDAV-compatible calendar.

Sync works at the resource level

Each Hubhus resource (e.g. a person or location) can be linked to exactly one external calendar. Events appear in both systems, and external events block the resource's availability in Hubhus.

Three supported platforms

Outlook/Microsoft 365 — near real-time via Graph API; requires Microsoft tenant admin approval. Google Workspace — near real-time; requires domain-wide delegation. CalDAV — polling-based (every 5 min / every 6 h), always two-way; works with Nextcloud, Fastmail, iCloud, Synology, and more.

Activate in two places

Use Account → Integrations for centralized org-wide setup, or Calendar → Settings → Outlook/Google/CalDAV for per-resource configuration. Both lead to the same integration engine.

How resource linking works

  1. Activate the platform integration (Account → Integrations or Calendar → Settings).
  2. Hubhus fetches available external calendars from the connected account.
  3. Assign each external calendar to a Hubhus resource.
  4. Enable Import, Export, or both. (CalDAV is always both.)
  5. Sync begins immediately. Each resource can link to exactly one external calendar.

Troubleshooting — common causes

  • Missing permissions: Microsoft admin consent not completed, Google Workspace domain-wide delegation missing, or wrong CalDAV credentials.
  • Calendar not linked: Resource shows "Not linked" even if integration is active — go to Calendar → Settings and link manually.
  • New calendars not visible: Use "Refresh list of available calendars" under Calendar → Settings → Outlook/Google calendars.
  • Deleted events not removed: External deletions don't always trigger webhooks (Google/CalDAV) — manual sync may be needed.
  • Privacy mode active: Imported events may show as "Busy" with no details — check resource sync settings.
