Using Route Planners to Schedule Field Visits
Route planners create optimized daily routes for field resources based on lead locations, driving constraints, and availability. You review suggested routes before accepting — nothing goes to the calendar until you confirm.
TL;DR
Access: Calendar → Optimization tools → Route Planners → + New route planner. Configure: campaign + filter, resource(s), date range, visit duration, driving constraints (max transit from base, between events, before/after hours). Run → review suggested routes (date, resource, stops, km, status) → expand to verify → click Accept route to create calendar events. Tip: "Max. driving in between events" too low = days with very few bookings — set it high enough to allow flexible routing.
Get started in 4 steps
Basic settings and locations
Go to Calendar → Optimization tools → Route Planners → + New route planner. Give it a name (e.g. "Route planner 2026-05-05"). Select the campaign containing the leads to visit and optionally a filter (e.g. leads without existing calendar events, specific postal codes).
Calendar and resource settings
Select which resource(s) should receive the visits. Set earliest / latest possible date (fixed dates or dynamic expressions like next monday). Set visit duration (minutes), schedule time of day (or Auto to use resource hours), buffer between events, and resulting event type. Optionally round off start times to nearest interval.
Driving criteria
Bookable in postal codes: restrict to resource's operable codes or a custom list. Max. driving from base: maximum transit from home base to first visit (e.g. 1h30m). Max. driving in between events: maximum transit between consecutive visits — keep this high enough to allow fully booked days (e.g. 45–60 min). Max. driving before/after business hours: set to 0 to prevent travel outside working hours.
Review and accept routes
After the planner runs, a summary shows total routes, issues (if any), date range, average daily distance, and max single-drive distance. Click a route to expand it — review each visit's address, transit time, and proposed time slot. Click Accept route to create calendar events. Click Reject to discard without creating events (leads remain available for future planning).
