If Hubhus is not sending emails — or customers report they never received them — the cause is almost always found in one of four areas:
Spam protection rules blocked the message
The email address is invalid or has bounced previously
Sender domain (SPF/DKIM) is not configured correctly
The automation or trigger did not fire as expected
This article helps you identify which issue applies and how to fix it.

Before checking delivery issues, confirm the message was triggered at all.
How to check
Open the lead
Scroll to History
Use the filter field and search for “email”
Look for events such as:
Email sent
Email blocked
Delivery status
Automation triggered
If nothing appears
The message was never triggered.
This is usually caused by:
automation trigger limit reached
conditions not met
required fields missing
status changed before automation ran
the automation is disabled
If the automation triggered once but not again → see section 4.
2. Hubhus spam protection blocked the email
Hubhus includes built-in protection to prevent accidental spamming.
Emails can be blocked for the following reasons:
A. Max emails per lead
Example settings:
Max 1 email per lead
Max 1 email every 24 hours
Max X per day/week
B. Max emails to the same email address
Even across multiple leads (if the lead is the recipient).
C. Lead unsubscribed
If “Block sending to lead’s email” is enabled.
D. Blacklist or whitelist rules
Campaign-specific restrictions.
You can view these in the Email template → Spam protection settings.
Blocked emails always appear in the lead’s History.
3. The email address is invalid or has bounced
Incorrect or unreachable email addresses are the most common reason emails don’t send.
Examples of invalid addresses
typos (gmial.com, hotmial.com)
missing domain
extra spaces
unsupported characters
If the email bounced previously
Hubhus automatically stops sending to that address.
How to check bounce logs
Go to Account → Email logs → Bouncing addresses
Search for the email
Review the rejection message
Typical errors include:
5.1.1 user does not exist
mailbox unavailable
no MX record
domain accepts no mail
timeout contacting mail server
If the address is on this list, Hubhus will block future sends automatically.
4. The automation has already fired once
If an email is part of an automation, Hubhus uses a safety rule:
Automations have a “Max fires per order” limit
If it is set to 1, the automation will run once and never again — even if the conditions become true later.
To fix:
Go to the campaign → Automations
Open the automation
Click Edit trigger
Increase Max. fires per order
Save
Once increased, the automation can send future emails again.
5. Required fields or validation rules prevented sending
A message may fail if the lead data does not meet validation requirements.
Hubhus has two layers of “required fields”:
1. Campaign-level required fields
If a field is required, the lead cannot be created or updated without it.
2. Form-level required fields
In webpages, booking forms, and campaign forms you can mark fields as required using:
If validation fails:
the form will not submit
automations depending on those fields may never trigger
the email will never be sent
Check the lead’s History for “Validation error”.
6. Sender domain is not verified (SPF/DKIM issues)
If your domain lacks proper DNS records, many receiving mail servers reject your emails.
You may see errors like:
“DKIM validation failed”
“SPF fail”
“Policy rejection”
“550 authentication required”
This appears in:
Lead → History
Account → Email logs
Your domain must have:
SPF record
DKIM record
Matching sender domain inside Hubhus
If incorrectly configured, some emails may deliver while others fail.
7. Enable notifications for failed emails (recommended)
You can receive alerts when emails fail.
How to enable
Go to Account → Email logs → Notifications
Create or edit a notification
Choose:
recipients
frequency
campaigns to include
