How do I create new users?

This article explains how to create a new user, send the invitation, grant campaign access, and ensure the user is correctly connected (including calendar sync if your organization uses external calendars).

Adding new team members to Hubhus

This article explains how to create a new user, send the invitation, grant campaign access, and ensure the user is correctly connected (including calendar sync if your organization uses external calendars).


1. Create the user account

  1. Go to Account → Users

  2. Click New user

  3. Enter the user’s:

    • Name

    • Email address

    • Mobile number (optional)

  4. Choose a role:

    • Administrator (full system access)

    • Standard user (campaign access must be granted manually)

  5. Click Save

Hubhus will automatically send an invitation email to the new user.


2. User accepts the invitation

The user must:

  1. Open the invitation email

  2. Click the activation link

  3. Set their password

Only then can they log in.
If the email does not arrive, ask them to check spam/junk or resend the invitation from the user’s profile.


3. Grant campaign access

New users do not automatically see any campaigns.

To grant access:

  1. Go to Account → Users

  2. Click the user

  3. Open Campaign access

  4. Select the campaigns the user should be able to view or work in

  5. Save changes

Campaign access determines:

  • Which leads the user can open

  • Which booking forms they can manage

  • Which automations and templates they can work with

4. Initial setup for the user

After logging in, the user can:

  • Update profile details

  • Upload profile picture (optional)

  • Set or review their work hours

  • Adjust special dates (if permitted)

  • Confirm their time zone and locale settings

If the user will be used in booking forms, check that they are associated with:

  • A calendar resource, and/or

  • Appropriate resource tags


5. (Optional) Enable external calendar sync for this user

If your organization uses Outlook, Google Workspace, or CalDAV sync, you must manually link each user’s external calendar.

This does not happen automatically.

To link the user’s calendar:

  1. Go to Calendar → Settings

  2. Open the relevant sync tab:

    • Outlook calendars

    • Google calendars

    • CalDAV calendars

  3. Click Refresh list of available calendars

  4. Find the user’s external calendar in the list

  5. Click Link calendar

Without this, Hubhus will not import or export events for that user.


6. Summary

To create a new user in Hubhus:

  1. Create the user in Account → Users

  2. Assign the correct role

  3. Grant campaign access

  4. User accepts the invitation

  5. Configure calendar/resource settings

  6. (Optional) Link Outlook/Google/CalDAV calendar

This ensures the user has the correct access and is fully operational in Hubhus.
