How do I delete or deactivate a user?

When someone leaves your team, choose carefully between deactivate and delete. Deactivate keeps the person visible on leads and in the calendar (marked inactive) and you are not billed for that user. Delete permanently removes the user — assignments are cleared and the account cannot be restored.

TL;DR

Prefer deactivate if you want history and assignments to stay intact without paying for that user. Delete only when the user must be removed for good — they cannot be restored; a new user must be created. Go to Account → Account & Organization → Users. Admins must uncheck Admin before delete.

Choose deactivate or delete

Deactivate = keep the user in Hubhus, marked inactive / deactivated. You are not billed for deactivated users. Leads stay assigned; calendar events stay on that resource. Delete = permanent removal. Assigned leads and tickets become unassigned; calendar events lose the resource (shown as Resource no longer exists!). The deleted user cannot be restored — create a new user if needed.

Deactivate a user

Go to Account → Account & Organization → Users and deactivate the user (instead of deleting). They appear as (inactive) or (deactivated) in the calendar filter and on the lead table Person column, but remain assigned. Their events stay visible in the calendar. They cannot log in, and you are not billed for that user. The trade-off: inactive users can clutter user/calendar pickers and overview lists.

Delete a regular user

Go to Account → Account & Organization → Users. Click the red trash icon on the user’s row and confirm. Access is removed immediately. Lead and ticket assignments for that user are cleared (unassigned). Calendar events that belonged to them show Resource no longer exists! instead of a name. Historical lead data still exists in Hubhus — only the user link is gone.

Delete an admin user

Admin users cannot be deleted directly. Uncheck Admin first, then use the red trash icon and confirm.

What you see after deactivate

  • Calendar: The user’s calendar can still be selected under Calendars → Users. The name includes (inactive). All previous events and travel blocks remain on that day view.
  • Lead table: The Person column can still show the user as Name (deactivated) — they stay assigned until you reassign.

What you see after delete

  • Calendar event: Where the resource name used to appear, Hubhus shows a warning: Resource no longer exists!
  • Leads / tickets: The Person (or equivalent assignee) field is cleared — the record is unassigned.
  • Recovery: Not possible. Create a new user and reassign work manually if needed.

Recommendation

Use deactivate for employees who leave, parental leave, or seasonal staff — you keep ownership history and can reactivate later. Use delete only when you intentionally want the person removed from all assignments and lists, and you accept that the account cannot be brought back.

Permissions

Only administrators can deactivate or delete users. If you do not see the trash icon or deactivate option, contact your account admin.
