Configuring data deletion settings

Data deletion settings allow you to automatically remove old leads and calendar events based on configurable strategies — keeping your database efficient and aligned with data retention policies.

TL;DR

Go to Account → Data deletion settings. Two types: Lead deletion strategies (per campaign, time-based with optional criteria) and Calendar deletion strategies (how long calendar events are kept — default 5 years after event ends). Deletion = complete removal. Use anonymization rules if you want to keep records but remove PII.

Lead deletion strategies

Click New lead deletion strategy. Select campaign, set a name and whether to activate immediately. Configure the trigger: delete leads N years/months after one of these events:

  • Latest update (any field change, status change, calendar event, comment, etc.)
  • Created at
  • Anonymized at
  • Current status set at

Optionally add criteria (e.g. "has had status X", "has no calendar events") to restrict which leads are deleted. The interface shows a live count of matching leads.

Calendar deletion strategies

Click Edit in the calendar strategies section. Choose how long calendar events are retained after they end. Default is 5 years. Available periods range from 1 month to 10 years. Calendar events are deleted based on when they ended, not when they were created.

What counts as "latest update"?

The "latest update" trigger is reset by any of the following:

  • Any field value change (including selects and data fields)
  • Files uploaded or removed
  • Status changed, assignee changed
  • Calendar events added, edited or deleted
  • Related entities added in other campaigns
  • Follow-up added, checklists submitted, NPS scores, internal comments, enrichments

Calendar retention periods

Available periods: 1 month, 2 months, 3 months, 6 months, 9 months, 1 year, 18 months, 2 years, 3 years, 4 years, 5 years (default), 7 years, 10 years.

Deletion vs anonymization

Deletion: Completely removes the lead or calendar event from Hubhus. Data is gone. Use for old, inactive records where you have no further need for the record.

Anonymization: Removes PII fields but keeps the lead record. Use when you need historical counts or reporting data but must remove personal information. Configure in Anonymization settings.
