Setting up anonymization rules
Anonymization rules automatically remove personally identifiable information (PII) from leads after a specified period — helping you comply with GDPR while keeping non-personal data intact for reporting.
TL;DR
Go to Account → Anonymization settings. Create a new rule per campaign, set the age limit (e.g. 2 years), and select which PII fields to clear. There is a mandatory 7-day waiting period before the rule activates. Non-personal data (dates, statuses, numerical values) is preserved. Anonymization ≠ deletion — records remain but PII is removed.
Get started in 3 steps
Create a new anonymization rule
Go to Account → Anonymization settings. Click New anonymization rule. Select the campaign the rule applies to and give it a descriptive name.
Set age limit and select PII fields
Set the age limit — how long after the lead was created before anonymization is triggered (e.g. 2 years). Then select which fields contain PII to be cleared: typically name, email, phone, address, and any custom fields with personal data. The interface shows how many leads currently exceed the limit.
The 7-day waiting period
When a rule is created or edited, it does not take effect immediately. There is a mandatory 7-day waiting period — a safety mechanism to allow review and prevent accidental data loss. During this period, all users who will be affected are notified. After 7 days, the rule activates and runs automatically.
