How do I configure doublet detection?

Doublet detection identifies duplicate leads automatically and can trigger status changes or field updates when a duplicate is found — keeping your lead list clean without manual review.

TL;DR

Access: Campaign settings → Doublets. Select fields to compare (email, phone, custom fields) + matching logic (any one / all must match) + time window. Set automatic actions: status/select field on the new doublet lead, and/or status/select field on the existing lead being duplicated. Exclude specific statuses from detection. Enable warn on lead profile for visual indicator. Start lenient, tune based on false positives.

Detection fields and matching logic

Choose which fields to compare (e.g. email, phone, custom fields) and how strictly they must match: Any one field — a doublet if at least one field matches (broad, catches more duplicates). All fields — only a doublet if every selected field matches (strict, fewer false positives). Optionally add select fields as extra constraints (only doublet if select field also matches). Start with email + "any one" as a reliable default.

Time window and exclusions

Set Doublets must be created within to limit the age of leads compared: 1 min / 5 min / 60 min / 24 h / 7 days / 30 days / 3–12 months / no requirement. Shorter windows improve performance on large campaigns. Use Do not warn about doublets with these statuses to suppress detection for closed leads (e.g. "Won", "Not relevant") — prevents false alarms on intentional re-entries from existing customers.

Automatic actions on detection

Set automatic actions for when a doublet is found. For the new (incoming) lead: set status (e.g. "Possible doublet") and/or set a select field value. For the existing lead being duplicated: set status and/or set a select field — useful to flag the original lead for follow-up. These actions run without any manual intervention the moment a doublet is created.

Profile page warning

Enable Warn about doublets on the lead profile page to show a visible banner on any lead that is detected as a doublet. The banner shows which fields matched and links to the related leads. Useful for sales teams who need to know a customer has submitted multiple times before calling.

Common detection strategies

1. Email-based detection (recommended starting point)

  • Fields: Email
  • Logic: Any one field must match
  • Time window: 30 days
  • Action on new lead: Set status to "Possible doublet"

2. Phone-based detection (where customers may use different emails)

  • Fields: Phone number
  • Logic: Any one field must match
  • Time window: 7 days
  • Action on new lead: Set status to "Review needed"

3. Combined email + phone (strict) — fewer false positives

  • Fields: Email + Phone
  • Logic: All fields must match
  • Time window: 24 hours
  • Action on new lead: Set status to "Definite doublet"

4. Immediate re-submission detection (booking forms)

  • Fields: Name + Address + Postal code
  • Logic: All fields must match
  • Time window: 60 minutes
  • Action on new lead: Set status to "Immediate re-submission"

Troubleshooting

Too many false positives (unrelated leads flagged as duplicates)

  • Switch to "All fields must match" logic
  • Add more identifying fields to the comparison
  • Shorten the time window
  • Review field data quality — inconsistent phone formats (e.g. +45 vs no country code) can cause mismatches or false matches

Real duplicates not being detected

  • Verify the right fields are selected for comparison
  • Check that comparison fields actually have data — empty fields will not match
  • Check the time window is not too short for your scenario
  • Confirm doublet warnings are enabled in the settings

Performance impact on large campaigns

  • Reduce the time window (e.g. from "No requirement" to 30 days)
  • Limit comparison fields to only the most reliable ones
  • Exclude more statuses from detection — closed leads don't need re-checking
